How Castscape uses the personal information you send us through this website, who else handles it, and your rights.
Last updated: 29 October 2026.
1. Who we are
Castscape is the trading name of Sean Cooper, a sole trader, who makes and sells decorative concrete garden ornaments from Unit 21, Oak Lane Business Park, Littleport, Ely, Cambridgeshire CB6 1RS. Sean Cooper, trading as Castscape, is responsible (the “controller”) for the personal information described in this notice. In this notice, “we” and “us” mean Castscape.
Contact us about anything in this notice by email at sean@castscape.uk, by phone on 07899 100559, or by post to the address above.
2. What we collect
- Enquiries. When you use our enquiry form we collect your name, email address and message. You can also choose to give your phone number, your postcode, the topic of your enquiry and the piece you are interested in. If you call, text, message us on WhatsApp or Facebook, or email us, we collect what you choose to send.
- Orders. If you buy from us, we keep the details needed to supply your piece and for our records, such as your name, contact details, what you ordered, payment and any delivery address.
- Technical information. Like any website, our hosting provider records technical logs when it serves a page, including your IP address and the page requested. We use these only to keep the website running and secure. We do not use analytics or tracking tools, and we do not try to identify individual visitors.
Giving your phone number is optional. If you do, we use it only to call you back about sizes, finishes, visiting, collection or delivery. We do not use it for marketing.
Please do not send sensitive information (for example about health) through the form or by email. We do not need it to answer your enquiry.
3. How we use it and our lawful basis
- Answering your enquiry and arranging a visit, collection or delivery: our legitimate interest in replying to people who contact us, or taking steps you have asked for before you buy.
- Supplying your order: to perform our contract with you.
- Keeping business and tax records: to meet our legal obligations.
- Filtering spam and keeping the website secure: our legitimate interest in protecting the website and making sure real enquiries reach us.
Where we rely on legitimate interests, we have weighed them against your rights and use only what we need. You can object at any time (see section 7). We do not sell your information, and we will not send you marketing unless you have agreed to it. We do not make decisions about you by automated means.
4. Who else handles your information
- Root Delta Ltd (company number 17304199, registered office St John’s Innovation Centre, Cowley Road, Cambridge CB4 0WS), which built this website and hosts and manages it for us. It can access form submissions as part of running the website, and until the website is fully handed over to us, enquiries sent through the form go to Root Delta, which passes them on to us. Root Delta acts only on our instructions and does not use your information for its own purposes. Its email is provided by Google Workspace.
- Netlify, Inc. (United States) provides the hosting service Root Delta uses for this website, and receives and stores form submissions.
- Akismet (Automattic Inc., United States) checks form submissions for spam as part of Netlify’s form service, so it receives the content of your submission.
- IONOS provides our email inbox (sean@castscape.uk), where enquiries and our replies to you are kept.
- Meta (WhatsApp and Facebook), only if you choose to contact us there. Its own privacy terms apply to those services.
We may also share information with our accountant or professional advisers where needed, or where the law requires it.
5. Information processed outside the UK
Netlify, Akismet, IONOS and Google (which provides Root Delta’s email) may process information outside the UK, including in the United States. Where this happens, these providers rely on safeguards recognised under UK law, such as the UK Extension to the EU–US Data Privacy Framework or the UK’s approved contract clauses, under their own data processing terms. You can ask us for more detail about the safeguard for a particular provider.
6. How long we keep it
We keep enquiries, including those in our email and in the Netlify dashboard, for up to 12 months after we last hear from you, then delete them. If your enquiry leads to an order, we keep the records that tax and accounting law requires, which is usually up to six years. Netlify keeps its technical logs for periods set by its own service terms.
7. Your rights
Depending on the circumstances, you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct it, or to delete it;
- ask us to restrict how we use it, or object to how we use it;
- ask us to transfer information you gave us to you or another organisation.
To make a request, contact us using the details in section 1. We will reply within one month. If a request is complex, we may need up to two more months, and we will tell you if so. We may need to confirm your identity first.
8. Cookies
This website does not set cookies or store any information on your device. If that ever changes, we will update this notice first and ask for your consent where the law requires it.
9. Complaints
If you are unhappy with how we have handled your personal information, please tell us. You can email us at sean@castscape.uk, call us on 07899 100559, or write to us at Unit 21, Oak Lane Business Park, Littleport, Ely, Cambridgeshire CB6 1RS. We will acknowledge your complaint within 30 days, look into it, keep you informed and tell you the outcome without undue delay.
You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk. You do not have to complain to us first.
10. Changes to this notice
We will update this notice if how we use personal information changes, and show the date of the latest version at the top.
